Free Rent Receipt Template

When the person gives its property on rent to the party and receives the money against it, then it has to provide the acknowledgment regarding the receipt of the money to its tenant, which should be duly signed by an authorized person. The rent receipt shows various details of the payment that includes details of the business, which is issuing the rent receipt, party name to which the rent receipt is given, the amount of payment details, and the mode of the payment and details of the balance of tenant account. The rent receipt template is used by many people who give their properties on the rent with all details of the company along with formulas that automatically get populated on the rent receipt. It leads to the reduction of repetitive work for every new rent receipt.

About the Template

This template is set by many people to the extent as possible by them, along with formulas that automatically populate on the rent receipt. It reduces the repetition of work for every new rent receipt issued.

Elements

Following are the details of different nature that are generally present in the rent receipt template:

#1 – Heading

At the topmost area of Rent receipt, the heading rent receipt will be given. It is written so that there is a clear understanding to the template user that it pertains to the Rent receipt. This heading of the template will remain intact for every receipt and will not change with every such receipt.

#2 – Business Name and the Address

Under this, the person has to enter its name and address. In the template, the user has to fill these details once unless any changes occur in these details. So, the details will remain intact for every receipt and will not change with every such receipt.

#3 – Date

In this column, the date of the issue of receipt is to be entered by the user. With the help of this column, an issuer can keep track of the rent amount due from the tenant along with the payment made by him date wise. So, this column will be changed every time the receipt is issued.

#4 – Receipt No.

For every rent receipt issued by a person against receipt of the rent from its tenant, a unique receipt number will be allotted. It will enable the person to keep the track record of the rent receipts issued along with helping in the reconciliation of the same in a better manner. So, this will change for all new rent receipt issued.

#5 – Received From

This field denotes the name of the person from whom the rent is to be received, or receipt is issued. This field will change for every new rent receipt issued by the person.

#6 – Amount($)

Under this field, the amount which is to be received from the tenant is mentioned in the numbers. Since the column contains an amount that is to be received from the party so, it will change for all the new rent receipts issued by the person.

#7 – Amount in Words

Under this field, the amount which is to be received from the tenant shall be entered in words. Since the column contains the amount that is to be received from the party so, it will change for all the new rent receipts issued by the person.

#8 – Period from and Period to

Under this field, the issuer has to enter the period for which the rent becomes due, i.e., he will enter the “period from” and ” period to.” It will change for every rent receipt issued by the person.

#9 – Account Details

This field contains the details of the payment from the tenant. It will include the total due amount from the tenant and total amounts paid against the unpaid amount. After entering the balance of the details, due from the tenant will automatically be calculated using the formulas inserted in the template. So, this figure will give the balance outstanding.

#10 – Payment Mode

Under this field, the details of payment mode that the tenant used for making the payment will be mentioned. In case payment received is in the form of cash, the amount will be mentioned in the column, which is next to cash. In the case of a check, the amount will be mentioned in the column next to the check. In the case of money-order, the amount will be mentioned in the column, which is next to the money-order.

#11 – Stamp

Any stamp which is required will be affixed in the template before giving it to the tenant.

#12 – Received By

In the last field of the template, the signature and name of the person who took payment will be mentioned. It will enable tracking of the person who received the amount, which will be helpful in case any dispute arises in the future.

How to Use Rent Receipt Template?

  • The person issuing the rent receipt will be required to enter details in all the fields that are not pre-filled already. So, the date of issue of the receipt, receipt number, tenant name, amount in words and number, total due amount, the total amount paid, the period from and period to, i.e., period to which the rent receipt belongs, and mode of payment is required to be entered.
  • Lastly, the stamp has to be affixed along with the signature and name of the person issuing the same. Generally, the rent receipt is generated by the person in two copies. The original copy will be given to the tenant, and other copy will be kept by the person for records.
